AI Policy for Law Firms

Before anyone in the firm uploads documents to an AI tool, it should be settled what the firm approves for it. We work with you on the organisational framework of an internal AI policy: which tools, which documents, which approvals — and who checks AI results before they leave the firm.

Tools and documents

What does the firm approve?
  • It sets out which AI tools are used in the firm and for which tasks.
  • Likewise, which categories of documents may be uploaded to or processed by each AI tool — for example only anonymised, only public or also client documents.
  • We document the available settings and the vendors’ statements on their contract terms. On that basis your firm, after its own legal review, decides which tools and documents it approves.

Approvals and control

Who checks the result?
  • It sets out who checks AI results and how this is documented.
  • This includes approvals for new tools and how errors are handled.
  • The legal assessment in each case remains with you.

AI literacy in the team

Training as part of the rule
  • Under Article 4 of the EU AI Act, providers and deployers of AI systems shall take measures to support the development of AI literacy of their staff and other persons dealing with the operation and use of AI systems on their behalf.
  • The article was amended by the so-called Digital Omnibus; you can find the current wording at the European Commission’s AI Act Service Desk.
  • No specific level of AI literacy of any individual has to be guaranteed. Whether and to what extent your firm is affected is for you to assess; training — for example for ChatGPT, Claude Cowork or Legora — is an obvious measure, which we combine with the policy.

Is the AI policy legal advice?

No. We work with you on the organisational framework — tools, documents, approvals, processes. The assessment under professional and data protection law is made by your firm.

May client documents go into an AI system?

That is your firm’s decision, and we do not take it for you. We show which settings and contract terms the tools offer and record your decision in the policy.

What does the AI policy cost?

That depends on the size and structure of your firm. After a free initial meeting you will receive an individual offer.
